1. Foundational Privacy Commitment

Note Mate is designed and developed with a privacy-conscious, local-first architectural philosophy. This means that the core functionality of the application is intentionally structured so that user-generated content remains stored primarily on the user's own device rather than being transmitted to or stored on centralized remote servers operated by us.

This Privacy Policy exists to provide full transparency regarding how information is handled when users install, access, and use the Note Mate mobile application on Android devices operating on Android versions 10 through 16. Transparency is central to building trust, and this document is intended to clearly explain not only what data is processed, but also why it is processed, how long it is retained, and under what circumstances it may be accessed.

2. Scope and Applicability

This Privacy Policy applies exclusively to the Note Mate Android mobile application distributed through official app marketplaces. It does not apply to external third-party platforms, authentication systems, or cloud storage providers that may integrate with the App, as those services operate under their own privacy policies and terms.

Users are encouraged to review the privacy policies of any third-party services they voluntarily connect to the App, including but not limited to Google account authentication and Google Drive cloud storage services.

3. Nature and Purpose of the Application

Note Mate is a productivity application created to assist users in organizing personal information efficiently. The App enables the creation and management of structured text notes, recorded audio notes, screenshot-based memory entries, professional meeting records, calendar-linked reminders, and pinned sticky notes displayed through Android home screen widgets.

The App is not designed as a social networking platform, advertising network, behavioral analytics system, data aggregation service, or content distribution network. Its sole purpose is to provide users with tools for personal productivity and structured information management.

4. Local-First Data Storage Architecture

By default, all user-generated content including text notes, saved screenshots, audio recordings, meeting entries, and widget content is stored locally on the user’s device. This design choice ensures that the user maintains primary control over their information.

The App does not operate centralized content servers that store, replicate, index, or analyze user note content. There is no background synchronization to privately operated remote databases.

5. Account Authentication and Identity Processing

If a user chooses to sign in using an email address or Google account, limited identity information such as the user’s email address and basic profile identifier may be processed for authentication and session management purposes.

This information is used strictly to establish secure login sessions and to associate cloud backup functionality with the appropriate user account. Authentication infrastructure is supported by Google LLC services.

We do not sell, rent, lease, distribute, or share user identity information for advertising, marketing, or profiling purposes.

6. Screenshot Detection Functionality

The App includes a screenshot detection feature that monitors the device for newly captured screenshots. This functionality exists to improve workflow efficiency by allowing users to quickly save screenshots into the App’s Memories section.

When a screenshot event is detected, the App may display a confirmation prompt. Screenshots are only stored within the App after explicit user confirmation. If the user declines or ignores the prompt, the App does not save or copy the screenshot.

7. On-Device Optical Character Recognition (OCR)

Once a screenshot is saved by user confirmation, the App may perform Optical Character Recognition (OCR) processing to detect URLs or readable text embedded in the image.

OCR processing occurs entirely on the user’s device using on-device machine learning libraries. The image content is not transmitted to external servers for recognition, analysis, or data extraction.

No screenshot data is uploaded, stored remotely, or shared with third-party processors for OCR functionality.

8. Android System Permissions

To enable its declared functionality, the App may request certain Android system permissions including notification access, overlay display permission, media access for screenshots and image attachments, microphone access for audio recording, calendar access for meeting entries, and optional exemption from battery optimization settings.

Each permission is requested solely to enable a clearly defined user-facing feature. The App does not use granted permissions for undisclosed, hidden, or unrelated purposes.

9. Cloud Backup and Google Drive Integration

Users may optionally enable cloud backup functionality. When enabled, backup files are stored within the user’s personal Google Drive account. The App does not maintain duplicate independent copies of this data.

Through the built-in Cloud Storage Manager, users may initiate manual backups, restore previously saved backups, review backup status, and permanently delete backup files stored in Google Drive.

Users retain full control over their cloud-stored data and may revoke Drive access permissions at any time through their Google account settings.

10. Data Retention and Deletion

User content remains stored locally on the device until deleted by the user or until the App is uninstalled. Cloud backups remain in Google Drive until manually deleted by the user.

We do not retain hidden, parallel, archived, or undisclosed copies of user-generated content outside the storage environments described in this policy.

11. Data Sharing and Commercial Practices

We do not sell, rent, trade, license, or monetize user personal data or user-generated content. We do not share note content with advertisers, analytics brokers, marketing platforms, or data resellers.

Any third-party service provider involved in authentication or cloud storage processes data solely as required to deliver its intended technical functionality.

12. Security Measures and Safeguards

Reasonable technical and administrative safeguards are implemented to reduce the risk of unauthorized access, misuse, or accidental loss of user information.

However, users should understand that no digital storage or transmission method can guarantee absolute security. Users are responsible for safeguarding device access credentials and Google account authentication details.

13. Children's Privacy

Note Mate is not intended for children under the age of 13. We do not knowingly collect personal information from children. If such information is discovered, reasonable steps will be taken to remove it.

14. Updates and Revisions

We reserve the right to update or revise this Privacy Policy as features evolve, technical implementations change, or legal requirements require modification. Any updates will be reflected by revising the Effective Date.
